Planning & Design Practice Ltd are an architectural and town planning practice based in Derby, with additional offices in Sheffield, Matlock and Macclesfield.

Comprising RTPI Chartered town planners, RIBA Chartered Architects and architectural assistants, plus heritage specialists, our staff bring a wealth of experience from a range of backgrounds and various parts of the UK and Europe.

The majority of the company’s clients are within an hour of Derby; much of the work is in rural areas including the Peak District National Park and the Derbyshire Dales. We undertake projects in the Derwent Valley World Heritage Site and works to listed buildings.

Are you looking for an office manager role in a friendly, inclusive and supportive environment? Our current office manager is retiring, and we are looking for someone who can take on the role.

Planning & Design Practice Ltd are a small multidisciplinary Architecture, Planning and Heritage consultancy based in Derby and Sheffield. Our office manager is an integral part of the company, and we are looking for an experienced individual who is motivated to help drive the business forward. Interested candidates must be good communicators, self-motivated and prepared to assist at all levels of the business.

Office Manager – Key Responsibilities:

  • Manage monthly invoices – familiar with Sage
  • Manage Debtors including monthly reporting to Directors
  • Record office expenditure
  • Manage online and paper filing systemsManage, develop and implement administrative systems, such as record management
  • Manage incoming Calls
  • Respond to customer enquiries and queries
  • Arrange regular testing for electrical equipment and safety devices
  • Promoting or assistance in operating Quality manager systems
  • Promote staff development and training, manage CPD schedule and costs
  • Organise the office layout and maintain supplies of stationery and equipment
  • Use a range of software, including email, spreadsheets and databases, to ensure the efficient running of the office
  • Maintain the condition of the office and arrange for necessary cleaning & repairs
  • Implement and promote equality and diversity policy
  • Review and update health and safety policies and ensure they’re observed
  • Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies

Essential Skills and experience

  • Working knowledge of Accounts (preferably using Sage)
  • Strong inter-personal Skills (demonstrated through experience)
  • High Standard of written and verbal communication
  • Customer Service
  • Experience using Sage 50 and Microsoft Office

Sales & Marketing Support:

  • Administration support of our website, including uploading images, blogs, and new content
  • Business Development support through our CRM system
  • Proposals – preparing tender packs for prospective projects/contracts.
  • Social media administration – scheduling posts, responding to comments
  • Support execution of marketing campaigns

Commercial:

  • Monitoring and management of commercial targets. Compile weekly and monthly reports for the leadership team.
  • Raise invoices in accordance with requirements of project managers.
  • Draft and manage company accounts.

Office & Facilities Support:

  • Organise suppliers for facilities management
  • Make travel arrangements for colleagues when required
  • Ensure company files and documentation are kept up to date and organised
  • General stock checks and ordering of office supplies
  • Prepare meeting rooms
  • Act as the primary point of contact for operational suppliers and service providers, including utilities, telecommunications, and office services, ensuring contracts and services are managed efficiently and in line with company needs.

HR:

  • Work with leadership team and HR consultant to write up contracts, update handbook with any changes required by HR
  • Organise and collate information for monthly reviews
  • Implement company HR Policies
  • Manage staff annual leave

Job Type: Full-time
Pay: £27,500-£35,000 per year dependent upon experience

Planning & Design Practice Ltd is a leading town planning and architectural consultancy looking to recruit a Senior Planner to join our team.

You will have your MRTPI status or be working towards membership and be experienced in managing your own caseload. Applicants from both the public and private sectors will be considered.

Required skills & experience:

  • Experience of working on a wide range of planning projects;
  • Commercially aware and able to work proactively;
  • Articulate and able to communicate to clients and colleagues on all levels;
  • Good level of spoken and written English;
  • Excellent organisational skills.
